Overall Job Summary
This position is responsible for planning, organizing and managing the resolution of facility related repair and maintenance issues and capital projects associated with TSC and PTS owned or leased locations. The Facilities team member is responsible for continuously delivering a safe, secure and comfortable environment for our customers and team members, including compliance with OSHA, NFPA, and local AHJ regulations and inspections. The Facilities team member is responsible for all communication with both the Store team members as well as the Store Support Center (SSC) teams.
Essential Duties and Responsibilities (Min 5%)
- Receive, evaluate, plan, organize and manage all TSC and PTS repair and maintenance and capital needs, utilizing the facilities software platform, for all stores in your respective territory.
- The typical territory includes 5-12 states with an average of 5,000 projects annually.
- Execute expense and capital management plans under direction of the Facilities Director, each Facilities team member manages on average $7-10 mm annually.
- Manage Landlord Maintenance issues, including any dispute resolution necessary to get Landlords to make repairs as required under the the lease, working closely with Lease Administion on management of Landlord defaults.
- Strong problem-solving skills to analyze root cause of reported facility issue, establish scope of work and required specifications, engage vendors, control bid process and approve related expenses/capital to coordinate the resolution.
- Verify invoices for accuracy, quality of contracted repairs, warranty adherence, appropriate accounting codes, required signatures and accurate data entry to ensure appropriate payment.
- Collect, compile and record all email, phone and mailed documentation to maintain complete electronic archive of store repairs including initial requests, quotes, contracts, required approvals, warranties, completion results and invoices.
- Verify competitive pricing across a wide range of service industries to ensure cost saving and value engineering through research and experience such as but not limited to HVAC, plumbing, electrical, structural, asphalt, concrete, flooring, roofing and general facility components.
- Cross collaboration with Procurement to continually source and re-qualify vendor partners. Perform routine assessment of vendor performance, pricing, on-time delivery, specifications, quality of product, workmanship, responsiveness, and issue resolution. Develop and expand vendor network to improve performance and reduce cost.
- Excellent verbal and written communication to interact with team members, customers, management, SSC Teams and vendors partners.
- Partener with Construction and Finance to provide asset reporting as part of portfolio review, relocation strategy, and sale lease back locations.
- Exceptional organizational skills to manage multiple projects simultaneously.
- Ability to adapt to changing circumstances and address unexpected challenges; flexibility to work with various departments, vendors, and stakeholders.
Required Qualifications
Experience: Minimum 5 years’ experience in facility or building maintenance (preferably in a multiple unit retail environment) to include technical knowledge and industry trends. Equivalent industry experience will be considered.
Education: Bachelors degree required in business or related field.
Professional Certifications: Facility certifications in HVAC, roll up doors, MEP or other preferred
Preferred knowledge, skills or abilities
- Proven problem resolution and decision making ability (required).
- Ability to prioritize and manage a large volume of projects and significant amount of detail in a fast paced environment (required).
- Proficiency in Microsoft Office products (Word, Excel, and Outlook) (preferred).
- Ability to research and implement industry best practices (preferred).
- Available to travel as needed (required).
