Transportation Coordinator
Overall Job Summary
The Transportation Coordinator position is responsible for executing freight pay and claims processes to ensure all invoices are paid and claims are resolved in a timely manner. This includes coordinating, auditing, and processing all invoices and claims related to transportation and 3PL expense. This position is also responsible for collaborating with Carriers, Distribution Centers, Transportation Operations and Store Teams to resolve any discrepancies.
Essential Duties and Responsibilities (Min 5%)
- Audit and process transportation invoices for payment using the transportation management system
- Research, analyze, identify and collaborate concerning invoice billing discrepancies including credit and debit memos and all documentation between transportation service providers, 3PL service providers, DC’s, Stores, Transportation Ops and Omni Channel to resolve billing issues.
- Update invoice section of Transportation Management System to resolve invoice discrepancies and create weekly reporting to identify trends and maintain metrics
- Provide trend and metric information to leadership and other departments as needed to report the “health” of the invoicing payment process and influence process improvements as needed.
- Create and maintain Freight Pay Standard Operating Procedures (SOPs) and educate new carriers via “Carrier Onboarding/Training”.
- Work with Vendor Operations team to provide data to help support vendor chargebacks
- Work with TMS provider, carrier and IT department to resolve system issues
- Coordinate freight claim processes for overage, shortage, and damage
Required Qualifications
Experience: 2 plus years’ experience in high volume freight payable, or account payable.
Education: Associates degree from and accredited college or university in Accounting or Logistics preferred. Any suitable combination of education and experience will be considered.
Preferred knowledge, skills or abilities
- Proficient with Microsoft Office
- SAP and/or freight invoicing
- Display a detail-oriented approach to work
- Capable of working in a cross-functional environment
- Ability to negotiate with carriers to collect moneys owed
